PROCESS OF IMPLEMENTATION WITHIN THE FRAMEWORK OF ERASMUS+ STUDENT MOBILITY

APPLICATION PROCESS

  • Every term, the call for applications related to student mobility is published on the website of the University of Eskisehir (UIB) at https://uib.eskisehir.edu.tr/. The call for applications is also sent to the department coordinator and the coordinator assistant through the electronic document management system (EBYS). The department coordinator and/or assistant ensure that the announcement is posted on the department bulletin boards. The call for applications specifies the program participation conditions, application documents and methods, application dates, work schedule, and grant amounts.
  • Students who want to participate in the program fill out the application form online at https://app.uib.eskisehir.edu.tr/. In the application form, students indicate their preferred universities for the exchange. Students submit the printed copy of the application form, signed by the department coordinator, along with other required documents to the UIB.
  • The number of students who can benefit from the program with or without a grant is determined by the UIB for each department. Information about the application process is announced at https://uib.eskisehir.edu.tr/tr/basvuru-sureci. Students who meet the application requirements and submit the application documents completely receive a success score, calculated by the UIB using 50% of their grade point average and 50% of their foreign language score. The UIB places students in foreign higher education institutions according to their success score.
  • The matching lists of students are sent to the department coordinators by the UIB through the EBYS system with a cover letter. The lists are also announced by the department coordinators and the UIB.

PREPARATION PROCESS

  • Students placed in foreign higher education institutions participate in the orientation meeting organized by the UIB regarding the mobility process. The information video on the processes that students who will be in student mobility should follow can be accessed through the link https://www.youtube.com/watch?v=XpetAFawM1k&feature=youtu.be. Two weeks after the announcement of the matching results, an information meeting about the mobility process is held by the Erasmus+ department coordinator and coordinator assistant of the Department of Chemical Engineering. The announcement of the meeting organized by our department is posted in advance on the department bulletin boards.
  • Students review the information packages of the institutions they are matched with and determine the courses they can take in the partner institution. They obtain the opinion of the Erasmus+ department coordinator and/or assistant regarding the compatibility of these courses. The Erasmus+ department coordinator and/or assistant review the courses in terms of content and credits, taking into account the semester of the student, and inform the student about their opinion on the courses the student will take orally. Students can take a minimum of 28 and a maximum of 32 credits.
  • Chemical engineering students are encouraged to take courses related to chemical engineering and other related engineering fields. The department coordinator decides on the status of the courses taken by the student at another institution (mandatory/elective/professional elective). For courses to be matched as mandatory, the department coordinator obtains the written approval and opinion of the faculty member who teaches the course at ESTU regarding the similarity of the course content.
  • After completing their course selection, the student prepares the learning agreement document. The learning agreement and the guide for preparing the learning agreement can be accessed via the https://uib.eskisehir.edu.tr/tr/hareketlilik-sureci link. The student signs the printed copy of the learning agreement and submits it to the Erasmus+ coordinator and/or assistant of the Chemical Engineering department at UİB.
  • The student follows the application process for the partner university from the relevant higher education institution's website. During the application period, the student prepares the required documents and submits their application.
  • The learning agreement approved by the partner institution and UİB is submitted to the Erasmus+ department coordinator and/or coordinator assistant through EBYS. Following this, the course transfer table of the student is prepared by the Erasmus+ department coordinator or coordinator assistant. An example of the course transfer table is presented in Annex-1. The acceptance letter, learning agreement, and course transfer table of the student who will participate in student mobility are sent to the department head through EBYS. These documents are submitted to the Faculty Board.
  • After the decision of the Faculty Board, the processes such as making the grant contract of the student are carried out by UİB.

EDUCATIONAL PROCESS

During the study period abroad, students can make changes to their learning agreements, provided they are before the deadline set by the host institution. It is recommended that students obtain the approval of the Erasmus+ department coordinator before obtaining the approval of the host institution coordinator regarding the courses they will take or leave. Students send an email to the Erasmus+ department coordinator to add/delete courses they want to take, attaching the contents of the courses they want to take. The department coordinator communicates the student's opinion on the changes to the learning agreement by e-mail. After receiving the approval of the Erasmus+ department coordinator by e-mail, the student has the change page of the learning agreement approved by the host institution coordinator. The approved change page sent to UIB is sent to the Erasmus+ department coordinator and coordinator assistant with a cover letter. The Erasmus+ department coordinator and/or assistant review the change page of the learning agreement. If they find the changes made appropriate, they sign and make the relevant changes in the course transfer table. The course transfer table and learning agreement change page are sent by the Erasmus+ department coordinator through the department head via EBYS. These documents are submitted to the Faculty Board.

RETURN PROCESS

The transcript of the student who completed the learning mobility is sent to the Erasmus+ department coordinator and coordinator assistant by UIB through EBYS. The Erasmus+ department coordinator and/or assistant record the grades the student received at the host institution in the course transfer table. In the recognition of prior learning, the ECTS conversion table given in Table 1 is taken into account. This table can be accessed via the link https://www.eskisehir.edu.tr/ogrenci-isleri/ogrenci-icin-bilgi/onceki-ogrenmenin-taninmasi. The learning agreement, which includes the changes made, the transcript of the student, and the course transfer table, where the grades are recorded, are sent to the department head via EBYS. These documents are submitted to the Faculty Board.
